This assignment is based on option 2 i.e. Valley View Publishing Question 1 The five different organizational business requirements are as Identifying the organizational goal, vision and mission statement which is to carry out the role of editing and publishing and provide complete and correct information to all Business and performance plan is to ensure that the administrative role aims at having better coordination among departments and manages the work of publishing different documents Determining the human resource requirement which will assist in carrying out the role of editing and publishing by having people who have knowledge with regard to word processing, database management and spread sheet The different legal requirements in association with OHS and other safety arrangements so that the business is able to make arrangements for the necessary things through which the overall process through which activities can be carried out can be ensured (Bolton & Storr, 2006) Determining the different standard and ethical protocols to measure the performance and finding out the dimensions through which editing and publishing work will be compared and changes based on it will be determined. Developing a system and process which looks at identifying the different needs and based on it looking towards filling the different publishing and editing requirements Developing a change process which will look at making ramifications in the editing and publishing process so that basic adherence to different needs and requirements is achieved Having proper strategies and measures which will be developed and will aim towards meeting the different confidentiality and security needs so that no information or any other relevant material which will have a role in decision making gets leaked Determining the different parameters which will be used for weighing the different resources and identifying the different future resource requirement. On the forefront I would like to match my skills with the job requirements and based on it will be able to identify the areas I need to work. This will help me to find out the areas where I need to work and the manner in which I need to carry out the different activities (McGraw, 2004). This will look towards having knowledge in different areas and looking towards bringing a complete change in the manner activities are undertaken by looking at different directions and identifying the manner in which effectiveness will be gained. This will be followed by developing a process which is aimed towards creating a positive relationship between the employees and others within the organization so that the goals can be achieved easily. This will also help to foster an environment where proper communication will ensure that the different activities can be carried out easily and will multiply the overall effectiveness through which different business decisions are taken. The achievement of goals will also look towards continuous changes and looking at different areas so that the focus can be improved and the mechanism can provide an opportunity through which better development of the future becomes possible. Question 4 One of the goals which has been identified is to garner the required knowledge and skills which will help to deliver superior performance. To ensure that such a skill is acquired SMART objective will be used. Through the process of SMART the critical areas which can shape the performance and bring about a change in the behaviour will be analysed. The process will look towards having a look at objectives in a specific manner and ensuring that the different needs are met through proper adherence of the different objectives. This has to be matched by continuous training and looking to fill the different gaps which are present. This will require both on the job and off the job training. The process will help to find out the different dimensions and areas which will help to bring about a change in the behaviour and will help to overcome the different needs easily. Also ensuring that the objectives are easily measurable and looks towards fulfilling the different gaps will help to foster an environment where the overall functioning will improve and the goals will be accomplished in the best manner (Boxall & Purcell, 2003). The process also has to look towards ensuring that while looking to garner the required skills specific stress is laid on areas which are of core importance and based on it a mechanism is created which looks at maximizing the overall objectives and achieving the different goals on the best manner. Question 5 The time management plan for a week is as Day 1: Looking to identify the different tasks and role which I need to carry out so that I can plan accordingly and look towards aligning things accordingly. The day will be used for understanding the different needs and looking towards developing a plan which is aimed towards fulfilling those gaps Day 2: Communicating the different roles and responsibilities among the different members of the group and providing them the required support to carry out the activities. This will be matched by continuous monitoring and receiving feedback and making changes so that the activities can be carried out in the best manner Day 3: Looking towards monitoring the performance and ensuring better alignment with the different groups and functioning together so that the entire organization is able to come together and carry out the activities properly. This will be matched by continuous monitoring and receiving feedback and making changes so that the activities can be carried out in the best manner Day 4: Looking towards finding out the gaps which is seen in the performance and developing plans to fill those. This will help to identify the different measures and areas through which better governance will be achieved and will help to develop a framework through which the performance will be carried out in the best manner Day 5: Reviewing the performance for the entire week and matching those with the developed standards. This will help to find out the gaps which is present and will provide an opportunity through better development and areas of concern will be highlighted. This will also help to understand the focus area for the future and will provide a basic structure and framework through which the different activities will be carried out in the best manner. Day 6: Making plans for the next week keeping in mind the gaps which were present in the work and filling those gaps. Also looking to ensure that the plan which is developed fulfils the objective of the organization and provides a framework through which better realization of the objectives becomes possible. Question 6 The use of technology will help to improve the manner in which the different objectives are achieved as technology will be used in the following ways Different communication tools will be used to communicate with people and will ensure that people who are even far off will be communicated easily and will thereby help to provide a framework for better development so that better publication work is achieved Using internet to solve different problems associated with word, excel and other documents so that the process can be carried out in the most effective manner. Using technology while saving and preserving the different documents so that it helps to gather the valuable information and preserve it from leakage and other risk Using technology to determine the manner in which different people will be contacted and developing a framework which will be aimed at maximizing the gains Using technology for training purposes and identifying the manner in which better learning can be imparted through the use of technology and developing the required parameters which will improve performance Question 7 The causes of stress in the work environment and the manner to deal with those are as Increased workload which will increase the stress level as carrying out different activities becomes difficult. This will be solved by having people employed for different activities and roles and ensuring that the work is carried out in the best way Carrying out multiple roles will also lead towards stress as it will divert the attention and will not allow focusing on one area. This will be solved having people employed for different activities and roles and ensuring that the work is carried out in the best way Increase in injuries and accidents leads towards an increase in stress level as it creates panic and makes it difficult to carry out the different roles and functions effectively thereby leading towards lack of stress. This can be solved through the process of developing proper training programs which will be aimed towards looking towards reducing accidents and ensuring that the process provides gains and reduces stress Change in business role and activities by moving one from one position to another which thereby has an impact on the manner in which business decisions are taken resulting in stress level to rise (Franco, 2009). This can be solved by ensuring that the different activities are carried out by different people and ensuring that the same people carries the same role Rising in the job needs and requirements also result in impacting the level of performance as it leads towards increasing the level of difficulty. This can be reduced by looking towards providing better facilities and guiding employees so that they are able to perform in the best way Question 8 The feedback from different colleagues, clients and customers can be obtained in the following ways Direct face to face contact where the feedback will be communicated. This process will help to solve the problems as any doubts can be resolved at the same time and will thereby provide an opportunity through which the different dimensions and areas through which better productivity will be realized can be achieved Use of technology to communicate with people where different social networking sites will be used to obtain feedback and understand the different needs and requirements of the customer (Clunies, 2007). This will help to develop a framework for carrying out different activities and will help to accomplish the different task and role in the best manner Using a process of feedback where people provide feedback in sealed envelopes and through mails. This will help to use it as an authentic proof and will have its validity as the same can be checked again and again (Jay, 2010). This would lead towards multiplying the effectiveness in which different work is carried out and will ensure that the feedback provided is correct and accurate Question 9 The skill audit which I have carried out will help to find out the gaps which I have and need to develop strategies to fill those. Some of those which have been identified are as The ability to us technology at the same pace as it required in the job is an area which I need to look at. This gap will be filed through regular practice and developing a plan which will be aimed towards working on the different fundamentals and finding out the manner in which better control will be exercised over the different activities The manner in which communication process has to be used and the different people to be contacted in different situation is an area to look at. Looking towards increased use of technology and determining the manner in which technology can bring a complete change and transformation in which different activities are carried out so that maximum efficiency can be achieved Acquiring knowledge regarding the manner in which accomplishment of goals become possible while working in groups and the different aspect and fundamentals which will help to contribute in the same direction Improving my leadership skills by being able to communicate and accomplish the different tasks which have been assigned to me. This has to be matched by developing a process which looks at developing the required linkage between the different people and acting as a liaison so that better and effective communication takes place The goals will be achieved over a period of one year which will foster on the different need and requirements so that major change in behaviour takes place and the process helps to bring about a complete change in the manner different activities are carried out.
