Managing these people through effective communication is also an effective way of managing its competitive environment. The large scale international events such as the Olympics require extensive coordination between many different agencies. A great extent of the success of such international events depends on the way in which communication is managed and used effectively within the organization. Good communication in sports acts as one of the essential ingredients in contributing to its growth and performance. Not only does it contribute towards growth of the individuals involved but also the game. It serves an all round purpose of persuasion, information, evaluation, problem solving and motivation in the game. Success of the game is predominantly dependent on how effectively and efficiently the message is sent across to the receiver. The global sports events represent different people from different countries. Moreover employees are also recruited from all over the world for working in the event and making the event successful. Moreover, holding such events also involves extensive negotiations with sponsor sand organizers, organizing travel, visas and accommodations. The event is also meant to look after the marketing, training and medical aspects. The project seeks to present the ways in which communication can be used effectively in the 2012 Olympic Games. As it is one of most awaited and popular events the world would wait eagerly for, it is crucial that a solid communication foundation is created and implemented for connecting the global audience and employees associated with it together. The game is likely to employ numerous temporary staff from all over the world to give effect to the big international event. Thus it is crucial that these staffs are united together through an effective communication system. It is also important that technology is applied for the purpose for enhancing and improving the efficiency of the system. The project presents certain communication strategies which might be employed in the 2012 Olympic Games and their contribution to the overall success of the game. Need for communication in the international sports events The international sports events, such as the Olympics require extensive coordination of activities of its employees. Olympics games employ numerous temporary staff, volunteers from different nations. This requires the implementation of a concrete communication infrastructure to collaborate workings and activities. Moreover it must also be ensured that there are not hurdles or hindrances in the communication process in the system. Also the greatest challenge in such international events is that they employ a huge number of employees. Managing the numerous numbers of people is likely to be problematic and create commotion. In such a condition it is crucial for the organization to employ a systematic and hurdle free communication strategy for smooth communication between the numerous employees employed in the system. The aim of an integrated and specialized communication system is to provide opportunities for the employees for exchanging information with one another in as minimum time as possible. This would consequently eliminate chances of miscommunication in the system which would consequently reduce chances of errors and complications too. Moreover errors leading to extra costs and investments could also be eliminated completely. In this regard, the contribution of technology would have to be regarded as imperative. Manual system of communication would be likely to result in errors and generate communication gaps. Technology would play the important role of removing such gaps from the system and improving its efficiency considerably. This is the reason why modern communication systems are based on information and technology and are developed through the use of the latest forms of communication technologies. In this regards, the concept of crisis communication plays an important role. Large events like the Olympics is required to maintain public relations while facing crisis situations like a financial collapse, or while being accused for being responsible for causing harm and dame to the society, or even being under the spotlight of being earning negative media coverage. In such cases communication, in the form of public relations plays the important role of keeping the people updated with the latest information and functions of the organization (Turney, 2011). Communication systems in the big international events have greater role to play than just being heard or gathering feedback from the people. The big events often engage themselves in cultural and educational programs, providing the youth with wide opportunities of expressions, and generating more global understanding, participation and collaboration. The Olympics games seeks to open up the entire range of human capability, communication and expression which consequently provides inspiration and opportunities to the millions of old and youth participants for appreciating something exciting, youthful and fresh (Quarrell, 2011). Communication Strategies- Use of Technology for improving effective communication Granting freedom to the media The communication system to be implemented in the 2012 Olympic Games is to be a showcase for mutual understanding and communication. The aim would be to keep up the spirit of the game which is friendship, peace and progress. However, it must be realized that a mature host must keep itself open to criticisms and must realize that criticisms would help to assist in its improvement. Thus one aspect of its communication strategy would be granting greater freedom to the media. It is not only crucial to open up to the world but also for strengthening long term communication with them (People's Daily Online, 2008). Secure borderless network architecture The most effective way of connecting all employees employed from different corners of the world, volunteers and athletes and organizations is by creating a communications network which would be able to grasp the enormity of the associated tasks. Being a Human Resource Consultant, it is recommended that the 2012 Olympics communication system would also seek to enhance the national airway radio system. This would include extending and improving its control room services too. Apart from the existing airwave contract, it is recommended that there must also be additional control room works. These would be predominantly for those areas where events were likely to occur frequently. The overall goal for the event would be the same as the prior ones, but this would be complimented with additional and thorough needs analysis along with the planning with each projects and regular checking with the operational colleagues about security issues (Dye, 2012). The present capacities on the sound communication technology platforms would have to be considerably enhanced for making the process smooth and error free. The airwave network would require upgrading. This is because during times of emergencies, it would have to deal with heavy usage in certain areas. Thus the network would have to increase its capacity in order to ensure that additional critical communications which were anticipated during the times 2012 games could be supported (Dye, 2012). Training Employees and Volunteers A communication network would be developed only for training and employees recruited and volunteers associated with the game. One of the primary concerns of the event organizers is to connect the numerous employees and volunteers through a common communication channel. This would be essential for collaborating and coordinating the different works and activities together so as to achieve a common goal. Firstly, since this is an internal event it would necessarily require recruiting temporary staff from different regions and nations which would be associated with the game. Thus it is imperative to note that the staffs would hail from different cultural backgrounds. The problem that might arise is that communication problems would keep them from functioning efficiently. This could de-motivate employees and thus keep them from putting in their best efforts in the system. Also the gaps created through cultural differences and ideological disparities would block smooth communication and even create misunderstandings, confrontations and clashes (Dye, 2012). However, the challenge that would be confronted with is the communication barriers that would be likely to generate in the system. The communication system would have to develop a common code language for removing the barrier. This would include educating the employees on a common language that would cater to the technical operations in the system. This particular network would be used by all temporary staff and volunteers in the game. It would also allow a two communication system. Not only would it educate the employees but also answer to their queries and problems. In case a problem aroused in the system, then it would automatically provide feedback to the staff using the system on ways of overcoming the same. Training provided to the volunteers and staffs would primarily be in the lines of overcoming hurdles in the communication system and measures to recover from emergency situations and conditions. Trainees would be completely equipped to handle the network on real problem scenarios and situations (Dye, 2012). Trainees would also have to update on emergency services through the network channel. Moreover, the common network could also help to provide a common platform for all. This would remove chances of biasness that some nations were being provided with special treatments while others were not. The idea is to create a free and friendly atmosphere where each one would contribute collectively to the purpose of event and make it successful. The system would be built based on the principle that collective efforts of the people would be responsible for making the game successful and that no individual person or nation would be enough to achieve the events’ objectives and goals. Use of Technology in the Communication System Technology has become inevitable and imperative in every sphere of the lives of individuals and the world at large. Technology would be used to play the important role of informing and engaging. The application of technology would be visible through the systems of television broadcasting, radio waves, and the internet which has evolved as one of the most widely used medium for transferring information and data. The use of technology would also be apparent through the use of mobile phones through which users would provide their views on the game to the organisers. Viewers would also be updated with the latest information and updates regarding the game and its proceedings. Technology has not only played the crucial role of connecting users and audiences together but has also made communication cheaper and faster. The use of technology has also improved anti terrorism efforts made by the Olympics and is likely to prove successful in future too. Apart from the use of metal detectors, bag searchers, various prohibited items, sniffing dogs, facial recognition softwares, various other special equipments would be used by officials for identifying and detecting radioactive isotopes, which is also a demonstration of the use of technology for crucial factors in the game (Huff Post, 2011). Contribution of the strategies in the overall success of the game Each individual strategy that has been recommended in the game is viewed against their direct contribution to its success. Media has effectively played the active role of displaying the global event in front of the world. Media broadcasting has contributed majorly to the process of attracting and retaining audiences of the global event so far. Thus the game has improved significantly in terms of its popularity and progress. Thus the strategy for providing them with greater freedom would be effective in reaching out to audiences worldwide and to places inaccessible. Moreover, freedom provided to the media likely to yield criticisms also. It would allow a two way system of communication in which the viewers would have the allowance to provide their feedback on the game. Feedbacks could be either in favour of the game or involve such issues which would reflect its shortcomings. Thus it would help the organisers identify the shortcomings and implement ways of eliminating them. This would consequently help in improving quality of the game through the removal of shortcomings. Providing importance and recognition to the audiences and their views would eventually be successful in earning their goodwill and favourable which would consequently contribute to the success of the event. Since it is a global event, the aim is to connect the entire world together through the event. A significant degree of success of the game would depend on how effectively it is able to do so. Thus the common network which would be developed would eventually contribute towards enhancing unity among staffs and members associated with the game through creating a direct connection between them. A major portion of the event’s success would be dependent on how efficiently the staffs were being able to perform their jobs. Thus the network system aimed at educating the staffs and volunteers on operations would reflect through how well trained the staffs were. Well trained and skilled personnel would be efficient in performing their jobs well and rectify the occurrence of hurdles or problems arising in the system processes. This would cater to reducing the emergence of problems easily and costs associated with them. Reducing the occurrence of errors would result in reduce wastage of financial resources which would help improving profit margins for the company which would consequently reflect through the overall success of the game. Conclusion The project reflects the need and importance of communication in the large and international events such as the Olympic Games. It is apparent how communication system would be a major aspect, on which the success of the event would depend. It is increasingly realised that an inferior communication system would pose serious threats towards the game’s overall success and performance. Developing efficient communication channels and removing the communication barriers and hurdles have been identified as one of the main success factors in the event. Not only is associated with reducing wastage of financial resources but is also helpful in educating volunteers and staffs on operational grounds. In addition to this, a two way communication system is also recognised. This is because, in the world of globalization, a one way communication channel would sufficient enough to transfer message to the audience but would not avail their feedback in return. However, catering to the viewer’s feedback is considered essential for rectifying the shortcomings of the event. Not only would it help to enhance viewer’s appreciation of the event but would also make the event more popular in front of the world. However, in the entire communication system, the use of technology has been recognized widely. Firstly, it has reduced costs considerably, which would otherwise be very high if communication was maintained manually. Secondly it has been able to connect the entire world together through a singly network in which each one can connect with the other in the matter of a second. Lastly, terrorism which has emerged as a prime threat to all global events has been able to be controlled considerably through the application of information and technology.
