Although the club is operational, it faces a lot of data and information management problems; All record maintenance (storage and retrieval) is manual. The manual data and information processing provides an insufficient decision support for designing new classes and activities which would meet the the club members’ fitness goals and increase the club’s revenue. For instance, there is no easy way for the management to know which class is most popular among the members and which class contributes the most to the overall revenue generated by the club. Business expansion seems daunting, as the idea of expanding the range of classes means more paper work and manual labour. To summarize, the current manual club management system is unable to provide an insight into the intricate financial queries that can ascertain the financial costs and identify areas of club’s financial growth. Fitness Club needs an automated information system that ensures information is stored and presented in an organized manner. Furthermore it eases the management routine tasks pertaining to the financial aspects of the organization. System Capabilities Fitness Club Management System aims to provide the following system level capabilities; Manage Classes System will store the detailed outline of the various classes (Zumba, Salsa, Combat, Body Conditioning, Pilates, Yoga etc.). The prospect new Members will be able to explore this outline before joining a particular class. The administrative staff will be able to add, edit and remove sessions offered for a particular class. System will assist the administrative staff in scheduling various classes. The class sessions’ schedule will be published on web for prospect members from the organization. Manage Club Members and Instructors System will maintain a complete bio data of the new and loyal members of the club. System will maintain the attendance record of each member and instructor. Manage Fitness Club Finances System will manage all financial aspects of the club. System will issue fee receipts and payment confirmations. System will manage various payment methods offered by the Fitness Club. System will be able to offer Single Payment, Attendance Series or Time Series discounts based on predefined financial rules. System will generate overall and custom financial reports for a particular member, instructor or class. System will document cost of each class. System will be able to generate overall financial summary of costs and earnings for a time slot or class. System will be able to generate custom reports to answer intricate financial queries of higher management. Provision of Online Presence System will enable promotion and communication of various classes, sessions schedules and payment packages through its web interface which would be accessible to all staff of the organization Provision of Decision Support System will generate reports for higher management through which they can analyse, authorize and prioritize various activities of the fitness club. Business Benefits The Fitness Club management system is perceived to provide certain key business benefits: It will provide a substantial decision support to the organization. Matters pertaining to Fitness Club finances will receive special attention. The director of the club is aiming to get valuable information on various classes offered by the club and their impact on fitness club finances. Beside these following additional business benefits are the targeted in the system design; System will provide valuable decision support to the higher management in carrying out class and session analysis and ascertaining their impact on the financial health of the organization. An automated imposition of the payment brackets on members will simplify the process of discount offers and will provide ease of use to administrative staff. System will automate the management of club’s information which would ease the club’s growth process The information publishing on website will enable cost effective marketing of the club as well as communicate any service updates. System will provide better and error free flow of information between members, instructors and the administration. The reporting module of the system will provide intelligent insight into the club’s historical data. Context Data Flow Diagram Since the main users of the management system are the manager and the administrators, they are the main data inputs sources of the system. The Director, Instructor and Members can not alter the state of data managed by the system. They only get their schedule information or financial reports (generated by the system) through the Administrator/Manager. The main input and output data flow is as follows: Inputs: Manager/Administrator provides enrolment, session registration, payment and attendance information of the members Manager provides personal information of the instructors Manager provides information about the available fitness and dance classes Manager/Administrator provides session registration information of instructors Manager/Administrator provides session schedule information Outputs: Manager/Administrator can retrieve total registrations and attendance of a session Manager/Administrator can retrieve payment information of registered members and instructors for a session Manager/Administration can retrieve session schedule for a particular member or instructor Manager/Director can get the attendance and revenue reports generated by the system Instructors/Members can get a session schedule they are registered to Instructor/Member gets payment receipts for sessions they are registered to Members of the organization (whether enrolled or not) can view the updated information on available classes, sessions and payment options This overall flow of data is shown in the figure below. A third passive user is the website visitor, who only views the information the site automatically displays from the company’s data store that the system maintains.
