The Needs Assessment Sur Educational The Needs Assessment ment of Purpose The purpose of the paper is to identify the needs that the employees of an organization have got while performing to achieve the organizational goals. The needs will be identified by the interviews, inquiry, and observation which will be conducted within the organizational premises. Business Needs Business needs can be stated as the requirements that are essential for an organization to follow while operating its business processes in order to meet with the primary objectives. Business need in the provided scenario can be recognized as the implementation of modern technologies and developing innovative ideas in order to cope up with the competitive global market. In order to effectively utilize modern technologies, user manuals become an essential part of business needs because it facilitates employees with certain information related to the proper process of utilization of technological features or applications. Consequently, through the gained learning from user manual related to the operational process of a technological application, employees could support and be beneficial to the organization to achieve the organizational goals through performing effectively or systematically. Moreover, satisfying employees through providing the primary requirements by the organization also becomes an essential need for the organization in order to increase commitment of the employees. Audience Audience in this particular circumstance is the employees. Employees play an effective role for the organization by helping and leading the organization to serve in the market with its products and services. With the consideration to this aspect, an organization should motivate its employees to perform better with the assigned tasks. In order to motivate its employees and maintain their work-life balance, the organization should implement new technologies i.e. MS Office application and organizational e-mail system and innovative ideas along with benefits among others. In accordance with the facilities provided by the organization, an employee should also serve the organization with his/her full effort according to the organizational requirements. Furthermore, before starting the work assigned by the organization, employees should study the operational objectives of the organization in order to perform effectively. Situation Performing in accordance with the organizational requirements and considered or implemented modern technologies, the employees could face certain difficulties, i.e. lack of proper operational knowledge regarding usage of MS Office and office e-mail system. Lack of adequate knowledge related to the identified technologies refers to the situation in which employees are unfamiliar with proper functionalities of the undertaken technologies by the organization while serving and supporting the organization to achieve the objectives effectively. Furthermore, it is also observed from the interview that certain number of employees also face various problems regarding proper utilization of the applications because the employees have got a lack of information regarding the appropriate operation usage. Moreover, the problems can be identified as lack of knowledge regarding adaptability of the applications, frequent occurrence of errors while handling the applications and inadequate knowledge regarding the features of the applications. Goals Every organization has certain goals while operating in the market. The primary goals of organization are to assist the prevailing customers of the market by meeting their requirements through providing quality products and services along with maximizing the organizational profits. Furthermore, other fundamental goals of organization can be identified as facilitating usage of modern technology and innovative ideas in accordance with changing needs of globalization. The goals of organization are to provide facilities to the employees, such as insurance, better salary, and good working environment among others. In respect of the implementation of technology, the organization should also introduce user manual along with training and development session for the employees in order to make the technological usage user friendly for the employees. Contextually, the organization also should consider building of good relation among the members within the organization as one of the effective goals. Requirements In order to achieve the goals, the organization should take certain feedbacks before implementing the measures to achieve the goals. Furthermore, the feedbacks or responses from the employees can be derived by conducting interview, observation along with inquiry within the organizational premises. Moreover, from the extracted views of the employees the organization should introduce a well planned training session for certain number of days to properly make the employees aware regarding user manual consisting of information related to MS Office application and e-mail system. Scope The strategy of user manual can serve the organization with considerable scopes in future which can be ascertained through proper guidance in training period. User manual will also help the organization to reduce the problems of the employees while operating with the technologies. Furthermore, it will also help the organization to maintain a good relationship with the employees along with facilitating them to increase their productivity. Topics Topic in this context represents the content considered while planning and formulating the training program regarding the usage of user manual for the employees. The contents related to topics refer to the steps that should be followed by the employees while operating Microsoft Office application in order to overcome the problems. Furthermore, the steps include the following: Starting MS Word Application: This step represents starting MS Word application after its installation. The subsequent features involve choosing command, using toolbar option, using menu command, using shortcut menus and keys. Getting to Work: This step involves the process of creating a document, typing a document, operating a document, saving and naming a document along with printing. Displaying a Document in Different Ways: This head includes guidance about features such as normal view option, page layout, outline, full screen view and print preview along with zoom-in facilities (Hong Kong University of Science and Technology, n.d.). Topics related to user manual would also include the procedure of accessing organizational e-mail which comprises opening the browsing page, typing the organizational web address and typing the specific e-mail id and subject provided by the organization. Audience Prerequisites Audience prerequisites refer to the primary requirements or knowledge required to operate or do certain processes or tasks. With due consideration to this aspect, employees of the organization should have basic knowledge about the usage of computer so that an employee can easily comprehend the provided terminologies in the user manual. Expertise of Writer/Designer I started using Microsoft Office with certain primary knowledge and after attaining computer classes as well as practicing simultaneously I have been able to expand my knowledge on the various available features of this particular software. Now, I can conveniently use a number of features in the MS Office application. Furthermore, in operating the organizational e-mail system, I utilize the fundamental knowledge gained through operating my own personal e-mails and the guidance provided by the e-mail service provider along with the information served by the organization related to the matter.
