Sports day- ‘Give it a Go’ [Supervisor Sports day- ‘Give it a Go’ Introduction The Local ity of Olympic Games legacy has taken the opportunity to make the initiative for a Sports day event for the Child wall Valley Primary School in Liverpool for the summer of 2013. The event covers the main sport activities that have been practiced all year at the School. The event will be taking place in the School playground once assured by the respected Head of Departments. Such gatherings help create a healthy competition between students and bring out the best in the students after hours of training and stamina building and are vital for the well being of students (Dowd 2001). Aims and Objectives Engaging students in sports events in order to bring the best in them making them Good leaders, Team builders and discipliners. To promote healthy competition amongst students of the Childwall Valley Primary school (Lang-8 2011). A good psychological and physical health for students To encourage interaction (communication skills) between the students and Parents so they can learn from one another (Bigelow, Moroney and Hall 2001). Work plan of Event The event requires extensive preplanning, which is not possible with the help of the School staff as well as Students. For the success of the event the Sports Instructor of the Childwall Valley Primary School will be given the task of short listing students participating in the event and under which aspect will they be participating (Gomez 2011). The heads of departments need to be patient with allocating some time from their classes during the last two weeks of the Sports Event. Parent volunteering is welcomed and highly respected for the event. The event will have an opening ceremony, gymnastics and cheer leading squad, field sports, relay races, tug of war and event ceremony with prize distribution (Lang-8 2011). This option was feasible and convenient as it is economical and will avoid transport issues for students and teachers. The School bus will pick students from the bus stop for the event at nine in the morning. The organizers of the event will be in school from seven in the morning preparing for the event. Safety is the most important aspect for this event. Therefore, the school Medical nurse will be available at the ground at all times during the event (Omelianovych 2010). The event will start at 10 in the morning with the Opening Ceremony and the settling of the students with energy drinks and water bottles. Then, the cheer leading squad and gymnasts will perform their exercised performance. Shortly after this, the races and rallies will take place around the ground with the help of the sports instructor and parent volunteers. The high school students will maintain a Scoreboard throughout the event for the avoiding confusion at the end of the ceremony (Omelianovych 2010). The Baseball, Basketball, Cricket and Soccer will be played in the teams made during practices for the event. After the last game of Soccer students will be given a break of twenty minutes to rest and change. The ending ceremony will take half an hour with the awards being trophies, medals and certificates for volunteers (NSW Department of Planning 2009 ). After the closing ceremony the respected teachers, Parents and Students will be invited for refreshments and tea. The event will end at four in the evening. This was the comprehensive description of the event of how it will be executed (NSW Department of Planning 2009 ). Structure and Head of Department Coming to the structure and the head of department who will be helping in the execution of event, as mentioned earlier, the event is impossible without the cooperation of all the departments and participants. Our very close and head of the event will be our Chair Person, Mr. Ben Adams. He is the director of Child wall Valley Primary School. In the past he has organized many events at the School from the Pocahontas Drama, Art Gallery, International day show and Book Fair Carnival. We would kindly request him to help us organize this event by providing us with the school ground and sports complex equipment for the event (Omelianovych 2010). The person in charge is Marketing Manager; Hyde Ken. The marketing of the event will be done through creating awareness of the event by giving out information during class break time, boards all over school and letters written to parents about the event and appreciation of their presence and assistance at the event (Omelianovych 2010). The Marketing plan includes the photographers and school reporters from the high school students. The event will be covered in the school years book and magazine. The event requires reporting from the senior students and will come in the local newspaper as well (Omelianovych 2010). All the department need to be interconnected and for this general meeting will be held with the agendas set and each department will be given their tasks and duties with the following up duties to make sure the event runs smoothly. The Finance department plays a vital role in the managing of the event. The Schools Finance Manager, Mr. Roger Bennie has effectively maintained the school fund for events over the years. A budget is allocated to the school from the finance department on the areas they can spend money. The events of the school also have a budget, which consists of 10% of the total budget. The total budgets rounds up to Six thousand pounds for the years. This event does not require a large amount of Finance, as the sports department is already well equipped (Hamil 2009). The finance will be needed for the following: Particulars Amount (pounds) Catering and Music 300 Emergency and contingency 200 Marketing 300 Awards 300 The venue is the School ground so there is no finance required for the venue rent. The catering is at teatime and energy drinks for all students at the beginning of the event. The teatime catering includes healthy snacks such as sandwiches. The catering also will be affordable according to the budget. The Emergency and contingency is the medical department of school, which is responsible for any mishap during the event. Ambulance and first aid kit will be available at the event at all times. The marketing department as discussed before covers the newspapers, school magazine and pre-event awareness. The awards are the prize distributions for the ending ceremony.
