Letter #1: Editor’s Review Sheet Audience.  Does the letter clearly address a particular audience?  If not, what can be done to improve the writing in this area?   Yes, it is clear that the audience is a supply company. Purpose.  What is the purpose of the letter?  Is it clearly stated at the beginning?  If not, what can be done to improve the writing in this area?   The purpose of the letter is to order wood flooring. Yes, its clearly stated in the first paragraph that the purpose is to purchase flooring.   Message.  Is the message well organized?  Is it well developed with ample use of examples and specific details to support the purpose of writing?  If not, what can be done to improve the writing in this area?   Its very well organized. The writer states two reasons for buying from this company: the quality of the product and the free delivery. By including specific reasons for the purchase, it is a clearly defined message of why the buyer would like the product. Also, the exact expectations for delivery date and a reference to a previous telephone conversation both add helpful details. Style and Tone.  Are the style and tone appropriate for the audience, purpose, and message?  If not, what can be done to improve the writing in this area?   Yes, very professional.   What can you suggest to the writer to make the writing more effective? Provide one or two ideas. 1. Mention the telephone conversation in the first paragraph as a reference. E.g., “per our telephone conversation on December 5.” 2. Possibly mention which department or to whos attention to send an invoice. Letter #2: Editor’s Review Sheet Audience.  Does the letter clearly address a particular audience?  If not, what can be done to improve the writing in this area?    Yes. Purpose.  What is the purpose of this letter?  Is it clearly stated at the beginning of the letter?  If not, what can be done to improve the writing in this area? The purpose of the letter is to notify the company the order confirmation hasnt been received. Yes, the first sentence clarifies the statement.   Message.  Is the message well organized?  Is it well developed with ample use of examples and specific details to support the purpose of writing?  If not, what can be done to improve the writing in this area?   The first paragraph outlines exactly what the problem is: that the order must be placed by the product representative, that the company doesnt show a pending order, and the customer has not received a response from the representative. The last sentence should be “customers requested deadline” instead of “customers requested deadline.” 2. The customer could also offer action that will be taken if they dont hear from the representative by a certain date. For example, if I dont hear from you by this date I will have to purchase the flooring from another company. Letter #3: Editor’s Review Sheet Audience.  Does the letter clearly address a particular audience?  If not, what can be done to improve the writing in this area?    Yes, the letter directly addresses the reader as well as comments on enjoying the presentation. Purpose.  What is the purpose of this letter?  Is it clearly stated at the beginning of the letter?  If not, what can be done to improve the writing in this area?   The purpose is to get additional information. Its not completely clear why this person would offer this advice. It appears to be a networking opportunity. Message.  Is the message well organized?  Is it well developed with ample use of examples and specific details to support the purpose of writing?  If not, what can be done to improve the writing in this area?   The message is very well organized. The writer reminds the person where they met, states their mission and asks very specific questions. Style and Tone.  Are the style and tone appropriate for the audience, purpose, and message?  If not, what can be done to improve the writing in this area?    Yes. What can you suggest to the writer to make the writing more effective? Provide one or two ideas. 1. Maybe mention something about a conversation you had with this person to remind them who you are. 2. State why you need their advice. Letter # 4: Editor’s Review Sheet Audience.  Does the letter clearly address a particular audience?  If not, what can be done to improve the writing in this area?    Yes, it is obvious the writer is responding to the advice received.   Purpose.  What is the purpose of this letter?  Is it clearly stated at the beginning of the letter?  If not ,what can be done to improve the writing in this area?  To thank the reader for offering advice and resources.   Message.  Is the message well organized?  Is it well developed with ample use of examples and specific details to support the purpose of writing?  If not, what can be done to improve the writing in this area?   The writer could break this into two paragraphs, the first stating thanks for the help, the second clarifying what will be done with the advice given. Otherwise, it is well organized. There could be examples of the advice and action planned to take. Style and Tone.  Are the style and tone appropriate for the audience, purpose, and message?  If not, what can be done to improve the writing in this area? The tone might be a little formal. Obviously the person the letter was written to took a lot of time to respond and offer advice. This would cause one to think the letter could be a little more personal (e.g., hope your family is well, or some other reference to a topic you discussed in person). What can you suggest to the writer to make the writing more effective? Provide one or two ideas. 1. The letter really says it all. The only thing I could suggest is that there could be an offer of a return favor, e.g. “please let me know if I can ever be of assistance.” Read More
