It is a restaurant that offers buffet of food to their clients in eight different locations in California. It consists of about three hundred and fifty employees all over who are appointed on a short-term basis. The human resource manager of this business is Mr. Morgan who is also the company’s Operations Manager. It has been witnessed that Mr. Morgan is facing severe problems to manage the human resource department. This is due to the fact that he is overworked and often found travelling to all the locations to carry out the human resource functions. This resulted in inconsistent outcomes and the cost of the human resource was also increased to a great extent. Consequently, the manager is desperate to find out appropriate solutions to overcome these issues due to which he is looking for different vendors that would make things better within the organization. There were basically two choices of vendors that could work well for this business. It includes; the pro staff files and the Auxillian West Human Resource Software. The pro staff files works well for huge organization like Castle’s Family Restaurant whereas the HRnet source is applicable on the small or mid-size organizations. As far as my opinion is concerned I prefer that Mr. Morgan selects the pro staff files as this a high profile business. Knowing the fact that the HRnet could only be used for smaller organizations it is likely to be disqualified. Henceforth, this is a time where Mr. Morgan should lead form the from the front and take a decision that should make things better and produce consistent and efficient results along with creating a diverse environment within the workplace. Introduction One thing that plays a significant role for an organization to be successful is its well organized Human Resource Department. The Human Resource Department can either make or break the organization. It helps to operate the business smoothly along with improving the information and technology processes. With the rapid advancements in the technology it is essential for any organization to maximize their focus on the technology and produce effective results. It has been witnessed that the introduction of Human Resource Information System obliged to set up a computerized system rather than depending much on manual work. Castle’s Family Restaurant has also decided to maintain a HRIS in order to create diversity within the workplace. However, this was not very easy as the company had to go through different phases in order to meet the requirements that were required to build an effective Human Resource Department. Company Review The Castle’s Family Restaurant has laid their foundation in the northern part of California. It has eight branches throughout California. This is a buffet-style restaurant that basically provides ready-made foods to their customers. There are nearly three hundred and fifty employees associated with the restaurant. However, around sixty percent of the employees are not appointed on a permanent basis and are asked to withdraw after a certain period of time.Furthermore, the restaurant has eight different operations all over the country that are inspected by the Operations Manager. It has been noticed that the duties of an Operations Managers and Human Resource Manager are assigned to one person whose name is Mr. Morgan. He is often found travelling to various locations of the Castle’s Family Restaurant in order to implement the Human Resource functions. As far as fast food restaurants industry is concerned, Castle’s Family Restaurant certainly holds a unique place. This is because it is easy for people to forgo for prepared foods altogether rather than going in favor of home cooking which is usually a less expensive option. But it is quite certain that people do visit restaurants for dinner or lunch in order to have a pleasant change in their busy schedule. This is where these fast food chains dominate the market as they are less expensive as compared to the casual dining where people have to wait for a longer period of time and which are far more expensive. Thus, the buffet-style theme that is presented by the Castle’s Family Restaurant makes it even more attractive and such restaurants tends to be highly cyclical. Business Analysis Looking at the current scenario of the Castle’s Family Restaurant it is quite obvious that it definitely requires a Human Resource Information System. The reason behind this is that it is a very high scale business. It contains one of the most skillful and hardworking employees that are available in the market. Therefore in order to produce an effective human resource it is significant that human resource information system is built.The human resource information system will deal with all the issues such as hiring of employees, recruitment, scheduling and solving the issues that come across an employee. Furthermore, it is found that this business uses excel spreadsheets to process their payrolls which is rather an old fashioned way to progress. The implementation of HRIS will also facilitate them to process the payrolls in a shorter period of time. There are several problems that the business has been associated with. Firstly, the business does not have any human resource manager. Mr.Morgan is obliged to do the work as both the human resource manager as well as the operations manager. He is overworked. He travels to all the 8 branches to carry out the human resource functions. This does not only make his life miserable but it also increases the cost of the human resource as it requires fair amount of money in order to travel this often. It is quite obvious that if this much burden of work is laid on a person the possibility of inefficient outcome increases.Secondly, most of the employees are appointed on a temporary basis. This would mean that even if they get a single opportunity elsewhere they will immediately withdraw from the restaurant. However, as far as Castle’s Family Restaurant is concerned there are certain functions that should be implemented right away. Theyare as follow; recruitment of employees, systematic payroll access, giving a quick response to the issues of the employees and set a proper schedule of work. Recruitment of employees is quite a significant aspect in human resource. It is very necessary for the sound performance of the organization. According to the critics, the recruitment of employees should be done in proper order. People who are interested to work in the restaurant should be asked to forward their resumes on the site of the human resource departmentthat would provide all the relevant information about the applicant. The human resource department should do proper analysis to figure out the exact number of employees required and what specific jobs should be assigned to them. In this case, Castle’s Family Restaurant consists of nearly three hundred and fifty employees altogether working in their eight different branches. Recruitment of employees would be vital. The human resource department should have the ability to select the correct and skillful employees to do the job. Furthermore, critics suggest that it is not right to hire so many employees on temporary basis because it would create mistrust between the employee and the organization (Jonathan, 2010). One single opportunity offered to them by the competitors and they will surely get carried away. Automation in recruitment is very critical within an organization. It is quite important to have a proper system under which these processes should be implemented. For example the human resource should ask all the applicants to send a soft copy of their resumes which would avoid them to tackle with huge piles of hard copies. This not only makes the situation easier for the manager but also cuts down the time that is required to perform the processes. Furthermore, it would be better off calling all the applicants at one single location rather than manager visiting all the eight branches. This would reduce the cost of travelling also. In this way the information of all the employees will be stored in the HRIS in a proper manner and the efficiency would certainly be increased in the process of recruitment. Moreover, if a good human resource system is set up then it would help to arrange skillful individuals in a proper sequence. This means that the hiring will be done on the first come first serve basis. Those who have applied first will be preferred first. This is also very ethical as there will be no biasness in the selection and everyone will be given equal opportunity to contribute. A good human resource system will also make sure that less time and money will be spent in order to communicate with the employees. The system will provide with a detailed description about how many employees are working and how many have left. This will make the life easier for Mr. Morgan as he will not have to travel for inspections in different branches and immediately start to hire employees on the positions that are available. According to Wright, the companies which use advanced technology for the recruitment of employees are able to get the staff the moment they click the button (Wright, 2011).He further adds that the use of advanced technologies makes the recruitment practices easier and faster as well as creates efficiency within the workplace. HRIS Type This is a high profile business that consists of nearly three hundred and fifty employees. Having such huge number of employees associated to it the Human resource information system that needs to be implemented in this business should put more emphasis on the employees. Since most employees are appointed on a temporary-basis it is quite obvious that the company is in a constant mode of hiring employees. The operations manager needs a system that will help him to deal with the Human Resource function of scheduling, hiring of employees and recruitment appropriately. Therefore a tactical HRIS would be the best for this business. A tactical human resource information system is one that helps the manager to utilize the resources accordingly. This system will help the managers with support for decisions that are essential in a human resource management. These decisions include; development decisions, job analyses and design decisions and a professional plan for employee compensation decisions. This is such an important part of the management that cannot be neglected. A manager will only be able to make these decisions correctly if he has the detailed description of the activities taking place in all the eight branches. Now,the two choices of HRIS vendors that would best fit in this business would be; the staff files pro- Atlas business solution and the Auxillian West Human Resource Software. As far as staff file pro is concerned it will help the manager to secure all the confidential files that are related to the business. It helps the Human Resource manager to keep a proper track record of all the employees and also secure them (Atlas Business solution,1995). It is also able to create the documents that are required in the human resource. The staff file pro software is affordable and can be managed easily by anyone. The document in the software contains hundreds of business templates along with all the text information prewritten that is required to make HR materials. This helps to perform the documentation part faster and easier since the manager need not to write the things from the scratch. This vendor also contains an audit trial that helps the HR executive to know whether the files of the employees are changed or not. If the executive find something of this sort he would be able to make the decision immediately and put the things in correct order. The staff files pro make it easier for the manager to solve the problem in an organized way and maintain diversity within the workplace. For example it contains office policies. The office policies further contain different policies that include; employment policies, benefits of the employees, payroll policies and proper guidelines of the workplace. The software also contains e-policies that include; internet policies and sexual harassment policies. The vendor also has job description material that would be extremely beneficial for the manager to recruit the employees faster since the job description templates are already designed in it. The manager just needs to select the employee who best fits in the description. The other vendor choice was the Auxillian West Human Resource Software. This software is basically for the organization that consists of a small staff of about 20 employees (Auxillum West Company, 2003). It is not widely used in the organization that is huge in size. This vendor basically does everything online. It has got self-service add-ons, recruiting the employees through live streaming, online link for payroll processing and online employee description form. It also contains an HR portal that presents all the relevant information about the organization. This vendor is much quicker as compared to staff files pro as everything is done on online basis, employees need not to travel anywhere and are able to apply from their homes. This will reduce the cost of the human resource as well because the managers will not be obliged to travel to different locations to carry out the HR functions and a lot of time will be saved. HRIS Recommendation Aforementioned were the two choices of the vendors that would fit in this business. But as far as my recommendation is concerned I think that the first vendor would be more beneficial for Castle’s Family Restaurant. The reason behind this is that the business is associated with a large number of employees working on a temporary basis. Due to this the company needs to practice the hiring of employees on constant basis. It is very important for the manager to have complete information about the employees working in all the eight branches. This software will help him to make decisions quickly an in an efficient manner. Since the software contains documents that deal with hiring of employees, recruitment of employees and scheduling for work it is worth implementing. According to me I think the life of Mr. Morgan will become much easier after the implementation of this vendor. This is because he will not have to travel often to different branches for the inspections. This software will provide him the audit trial that is very necessary in a human resource management. This audit trial tells about the employee files that need to be changed as well as secure it from harmful resources. The manager will not take much time in order to bring things in correct order. Moreover, staff files pro also contain business templates that have the relevant text prewritten in it. It will have all the necessary information already written in it and the manager will just have to fill it accordingly. This is a very time consuming process if done manually but the templates of such kind makes the work a lot easier and also prevent the manager to waste much time. Since the Castle’s Family Restaurant is in a habit of constantly hiring employees the staff files pro has also a solution regarding this issue. It contains certain job description templates of different departments. The job descriptions have templates like those of accounting and finance, facilities sales and marketing, operations administration and human resources. This helps the manager to set a particular criterion on which the applicants should be hired. He just needs to check the resume of the applicant and look whether he match up with criteria if not, the applicant will be disqualified immediately. All in all, I recommend that the Castle’s Family Restaurant should definitely go for this vendor since it has got everything that is necessary to progress a business of such kind. It will be fruitful for not only the human resource department but the employees will also be benefitted to a great extent. It has the ability to maintain a proper order within the workplace that would purely be ethical. The business will be able to hire the most skillful applicant as an employee because the selection criteria is based upon the first come first serve basis. Those who have potential and apply first for the job will be given much preference over the people who have applied late. Therefore this is the best vendor and Mr. Morgan should definitely go for this vendor in order to make a balanced life for him-self and for the employees as well. If we observe the second of the two vendors which is the Auxillian West Human Resource Software, I think that this vendor will not work for this business. The reason behind this is that the vendor is suitable for small or mid-size organizations. And as we know that the castle’s family restaurant is not at all a small or even mid-size business. It is certainly a high class business with nearly three hundred and fifty employees associated to it. This is something really huge. Due to its huge size it is quite obvious that the HRnet source cannot benefit this business. It can only deal with small scale organizations. It is also very true that this vendor has got some remarkable functions that would make things way easier and faster but at the same time there is no point that this vendor can fit into this business. Nevertheless it could be very fruitful for the organizations with at least 20 employees. To sum up, I believe that it would be a smarter move by Mr. Morgan if he implements the staff files pro into his department and make things work better and in an appropriate manner. It will surely produce constant efficiency within the workplace. Conclusion It is very true that organizations like Castle’s Family Restaurant come with issues which results in inconsistence performance of the organization. But everything depends on the human resource manager. In this case it is Mr. Morgan who has to decide so as to select the best vendor in order to make things work better. If he fails to do so the company will be producing inconsistent results. But these decisions should be made without any delay because it has a great impact on the organization. I would prefer that Mr. Morgan go for the staff files pro as it would give him the problems of every solution that he is coming across.
