PROJECT REPORT Report Presentation, Description, and Depth. A Report for the Choice of Green Technology Project by Projmanics LTD. Introduction. This report has been written to serve the purpose of explaining in details why the project management team is proposing or has settled for the green technology project for projmanics. The information contained in the report is specifically meant for consideration by the management as it gives reasons as to why the team decided to settle for this project. Therefore, the information in this report entails the results of the research which motivated the team to settle for the project, the methods used in collecting the information, and the recommendations that formed the basis for settling for the project. It is also set to provide an overview of the of the management plans that the team will employ in achieving this goal. Finally, it intends to get the views of the management on whether the project will deliver their set objectives. Research methods. The team conducted a research to find out the needs of the consumers and stakeholders who are the main beneficiary of this project. The methods employed in collecting data from the stakeholders of this project included interviews, focused group discussions, and customer reviews from the website of projmanics (Sproul, Wan, Mandel & Rosenfeld, 2014). This was done to ensure that the needs of the stakeholders were prioritized in coming up with this type of project. The team intended to come up with an idea that was user centered and not an idea that originates from the management. Results When users of projmanics were interviewed to give their opinion on the types of products and services they wanted, they were fast to point out innovation. Being concerned about their environment and the prevailing climate change, the citizens of UAE wanted to see the company come up with environmental friendly products. This was motivated with the recent entry of the country in the list of top tourist destinations in the world. Projmanics, which for a very long time had dealt in the manufacture of various products ranging from electronics to machinery, also had to share in the vision and goals of their consumers (Harris, Barucci, Cano, Fitzsimmons, Fulchignoni, Green & Schäfer, 2013). It is against this backdrop that the team proposed green technology as the next feature to see the growth of the company in the country and also abroad. This was to join the rest of the world and be on the forefront in leading the green technology revolution. The aim of this project is to see the company build another plant responsible for the manufacture of eco-friendly products such as electronics and machinery. These include such things like energy generating equipment like solar panels, wind turbines and other machines that utilize green energy like solar powered automobiles. Therefore, the team plans to see this project become successful by employing successful project management processes that involves planning, implementation and evaluation. Some of the planning activities will involve developing a project charter that will show the project deliverables (deGraft, Suzuki, Sakurai & Otsuka, 2014). A work breakdown structure will also be provided to show the various tasks that will be required to see the completion of the project. A budget breakdown will also be provided to show how the 15 million pounds are used in the project. The schedule of activities will be demonstrated in order to assess the whether the project is in line with the stipulated period. Recommendations. Going by the findings from the market research this team decided to settle for this project because it was in line with the stakeholders needs. Most of the consumers welcomed the project as they found it to be relevant in satisfying their current and future needs. This is due to the fact that it was ecofriendly and thus promoting environmental sustainability. The team is therefore presenting the report for consideration by the management after confirming client satisfaction for the project. Project Organizational Structure. Out of the three forms of organizational structure that includes projected organizational structure, functional organizational structure, and the matrix organizational structure; this project will utilize or assume the matrix model. In this model the manager shares control with the other individual managers who can also assign tasks and priorities. In the other two the managers are the final decision makers and role givers (Pachauri, Allen, Barros, Broome, Cramer, Christ & Vuuren, 2014). This project will have the following organizational structure; the project manager who will be assisted by other sub managers who will oversee various departments like managing cost, schedule, health and safety and so on. In this structure the manager tend to share roles thus killing the hierarchical structure. Project Charter. REQUIREMENTS TRACEABILITY MATRIX Product Requirement Deliverable component Provision of an appropriate work space to carry-out work activities. Renting land for the construction of the manufacturing plant. The land should not be smaller than 100 x100 m. this will ensure ample space for storage and testing products. Supportive environment and atmosphere that could facilitate innovative thinking. Purchase equipment that is fitted with the latest technology and other aid that will facilitate production creation of green technology products. Capacity to employ and attain international standards. Recruit five international personnel who are acquainted with the latest technology in the renewable sector. Availability of knowledge and resources in order to boost creativity within team members. Make subscription to receive news letters from reputable sites that specializes in green technology so as to add knowledge and improve innovation in the current school of thought among the team members. Feasibility Even though the current land rates are high at the present site where the main plant is situated, the long term benefits are worth risking for. Impact on benefits There is no negative effect on the benefits. Though currently land rats are higher next to the main plant, establishing the land next to this plant will see many benefits in the long run. Impact on budget The impacts of renting or buying land next to the main plant will slightly affect the budget in that it will increase but the overall benefit is worth risking for. When the plant is located next to the main plant chances are that cost of production will reduce. This is because the company will have to share some resources like transport thus reducing operating costs. Impact on schedule Since both approaches entail setting up a new plant because of the introduction of new products, schedule will not be affected. Impact on quality Quality will remain the same or improve slightly as a result of the costs saved from operating far from the main plant. When quality improves or is good customer base will also grow and people will recommend the products of the company to their friends and relatives thus contributing in marketing the products and the new company. The popularity of the new plant will also grow faster as people will link it with the main company. Collins, production Project Budget Breakdown The 5 million pounds set aside for the realization of this project will be used in the purchase of materials and equipment that will aid in seeing the project succeed. Part of it will also be used to pay labor of the team charged with the responsibility of actualizing the project plan. Therefor the money is likely to be spent as follows. Labor-1M Equipment- 1.5M Overhead-0.5M Materials- 1.3M Contingencies-0.5 TOTAL EXPENDITURE- 4.8M This project will employ the various techniques in managing and controlling its budget. Some of the techniques to be applied include the forecasting technique, earned value management, to complete performance index, variance analysis and performance reviews. The earned value management will be used to monitor the project in terms of schedule and cost. Forecasting will be used to determine the degree of delay or finishing the project on track. Performance review will be used to check the progress of the project. Project Risk and Analysis Management/ Project Health and Safety. Job safety analysis. Work shall not go on until certain criteria are met and this include; Work method statement; a brief overview of the task to be performed. Job safety analysis; created from work method statement is the breakdown of tasks into simplified subtasks that can help identify hazards and plan controls. Safe operational procedure; description of tasks performed frequently that require training in order to generate consistency and prevent risks. Risk management. Risk management will involve identification of potential hazards at the work place, assessment of those risks and finally the actual and the potential determination of the level of their significance to the team members. Controls will then be developed to eliminate, isolate, or minimize risks posed to the members and employees. Hazard identification. In risk identification the following resources will be utilized to assist in the process; hazard profiles for specific trade groups, workplace experience, and consultation with workers and employees (Ahmadpour, Ahmadpour, Mahmud, Abdu, Soleimani & Tayefeh, 2014). Occupation safety and health guidelines, safety alerts, approved codes of practice will also be utilized. Risk assessment. Risks will be assessed classified as follows; class A will include high risks, these are those risks that pose serious harm and have the potential to kill or permanently disable an individual. Class B on the other hand will refer to medium risks. These are risks with the potential to cause serious injury or illness which is likely to cause temporary disability. Class C risks are those that will have the potential to cause minor injury which can be managed by first aid. Safety policy The safety of projmanics will be based on the belief that the wellbeing of employees, and those affected by the work of this firm is a major priority and must be during all the work performed on behalf of this company. Projmanics health and safety policy. People are the most important asset and their health and safety is the company’s greatest responsibility. Therefore, the public will also be given equal priority to that of the employees. The objective of the safety policy is as follows; Comply with all the relevant health and safety acts, regulations and codes of practice to achieve an accident free work place. To ensure that health and safety is considered in all planning and work activities of the firm. To ensure that health and safety is part of every supervisory and managerial position. Carry out frequent education sessions to equip the company’s staff with health and safety information that will see them work in the safest possible manner. Ensure all potential accidents are prevented and controlled. Identify all the potential hazards at the workplace through hazard identification and risk analysis.
