Information technology Question The greatest resource to any organization is its human resource capa Humans donot only run machines at the organizations but also make decisions some of which maybe as crucial as determining the entire productivity. An effective organization has its human resources grouped into departments depending on their specialization. Such managerial arrangements view an organization as a system made up of components which must work dependently for the common good of the company. In such a system, effective management is key in coordinating the different department and ensuring uniformity of production. In hiring employees into an organization, the human resource department sets out a number of recruitment criteria. The employees hired in an organization are therefore determined to be the best for performing the specific roles. One key recruitment criteria of recruitment demanded by every human resource manager is relative knowledge relevant to the operations of the department. This is normally sought in the form of a college or university degree. However, after recruitment into the organization employees require effective orientation that is later followed by the requirement of on job training and the provision for continuous development. On job training and opportunities for development once in the company take the form periodic seminars and provision for study leaves. Such programs serve a number of functions in the realization of the organization’s objectives. Such programs motivate employees a factor that if implemented effectively results in highly motivated employees who in turn are very productive. Such opportunities make employees feel valued and acknowledged by their employer, they thus revamp their morale by increasing their out put level. Additionally, such programs retain employee relevance while at the organization. Knowledge changes and so are the means of production. To increase productivity, an organization needs to change its means of production and these may at times a change of the entire technology. A change in technology and means of production requires effective understanding of its operation. This therefore makes on job training and continuous development through studies more important. Some managers may prefer hiring newer employees with every new technology. While this may sound more effective, the cost of implementing such a policy may overwhelm the organization. Furthermore, it demoralizes employees thereby decreasing productivity. Commercial organizations exist in societies; this implies that they interact with the society on a daily basis. The nature of the interaction is greatly influenced by the organization owing to the fact that the society is always bigger than the organization. The dynamism of the society requires therefore that the organization keep its employees on the emerging trends in the society. This way, the interaction stays in check and the organization continues to stay relevant to the society. Some of the emerging and changing trends in the society may constitute market changes, failing to act in accordance to the changes may result in the loss of a significant market. This explains why most organizations have public relations departments and carry out social responsive investing. Continuous learning keeps the mind active and relevant to the current trends, this makes initiating change to the process of production easier. Resistance to change is one factor that affects productivity in most organization especially among the aged employees. Old age is natural and everyone eventually gets old, such a trend might therefore mean that there is an age bracket that virtually unemployable. This however, is never the case since some people retire from civil service and begin private practice. Such an active personality is developed continuously through progressive learning process at the work place. Introducing change spontaneously to a stiff mindset may prove detrimental and unproductive to the organization. It is therefore important that employees engage in continuous development through on job trainings and further studies. This way, the brain stays active and accepts changes more rapidly. This is beneficial to the organization in that its employees stay active for longer. A combination of relevant technical know accrued through continuous learning and experience accrued through longer stay results in improved productivity. Value addition is a key brand positioning tool, human resource are brands too and require value addition. Value can never be added to the finished product without treating the human resource to the same process. Besides being a token of appreciation, continuous learning adds up value to the employees making them more patriotic to the organization. Brain drain is a concept that refers to the transfer of employees from not only a region but also an organization to another. An organization takes hold of its employees by making them relevant to the means of production and the entire production process. Lack of this creates a gap that an opportunistic firm may capitalize in and drain the best brains from the organization. In retrospect, while continuous learning develops the individual employee by adding to his or her knowledge, it also develops the organization since development of the employee results in increased productivity for the organization. Question 2 Nonverbal communication refers to all modes of expression employed by humans in their daily processes of communication. These encompass facial expressions, non-essential sounds and other body movements such as hand movements. These are important in the process of communication since in most cases they communicate messages that the communicator never felt like saying. Interesting such signs may prove difficult and subject to misinterpretation but it is important that when communicating with another, people should take keener interest in the non-verbal communication since it is through such that inner meanings of the speech are hidden. However, just as was the case with body movements, these are equally subject to personal judgments and may never be valid. The level of attention given to such means of communication must therefore be as high as the communication process is important to the parties involved. When communicating to the deaf and dumb, the only means of communication is the sign language. This will therefore demand the full attention of the parties involved in the process. Interpretation should be accurate and exact to ensure effectiveness of the communication. It is therefore advisable that one gets an interpreter who best understands the signs in case of an official communication. However, the deaf and dumb scenario is a wrong example to the use of nonverbal means of communication but is simply used to help develop the importance that such may have in a communication process. In a normal communication process involving perfect humans, the nonverbal means of communication are also important since they reveal the actual meaning of the message communicated in the speech. A lying person is easily determined by the way he looks at his partner in the communication process. The uneasiness associated with lies reflects easily on the faces of people. The reflection of the discomfort is one sure to determine the authenticity of the speech. Some people move their hands in accordance to the narration they are giving. This gives them confidence thereby making feel better when communicating. The movements of the hand should always be in accordance to the narration, un concentrating speaker can best be determined depending on the manner he or she moves his or her hands. Hand movement means that the entire body is engaged in the communication process. The whole body and the entire brain are engulfed in the communication for the hands and lips to move in unison. However, a wavering speaker finds it hard to concentrate on the speech. In some f such cases, the hand moves differently from the movements of the lips such occurrences help the listener determine the validity of the information. In most cases such narrations are fabrications of the truths. Facial expression help reveal the inner thoughts of the speaker. Defiance is easily shown in not only the tone of speech but also how the speaker looks at his partner in the process. The society has its own chains of command and has set aside the manner in which they are adhered to. A junior should show respect to the seniors and this implies to even those in authority. When talking to a senior a junior must depict this respect, lack of it reflects itself in the face of the speaker; this is eventually useful in formulating ways of interacting with such defiant characters. Some nonverbal modes of communication communicate just as they are and do not require the complement of a sound. In most cases, a nod of the head implies agreement while a shake of the same implies disagreement. Unless the communication is recorded, the partners in the communication process do not require the production of a Yes or No sound once the respondent has either nodded or shaken his or her head. However, the use of such means in a communication process also depends on the nature of the conversation since in most cases victims choose to either nod or shake their heads especially when they are a shamed of the situation or are not willing to be associated with the situation. They normally do so following some form of coercion (Claudia 66). In addition to the facial expression and the bodily movements are the non-essential sounds. These include the injunctions that one makes during a speech. These sound do not add up to any meaning but normally aid the communication process. Some of the most common sounds include ‘eeerrrr’, which normally signifies a process of recollection. Such sounds also require close attention if the communication is to be effective. Some of the sounds are produced only when is fabricating a story and is therefore trying to collect lies; the manner in which a speaker uses the sounds clearly differentiates a liar from a genuine stammer. Respect is normally of greater essence in the communication process, lack of respect evokes emotions most of which impair judgments and influences understanding. A disrespectful speaker makes use of certain defiant sounds. Such sounds as sneers and clicks show this furthermore, such sounds never require any keener interpretation to understand.
