Running head: INFORMATION SYSTEMS Information Systems Introduction The point of discussion for the topic is based on an HR system whichis required to record and process the employee salaries in accordance to the leaves taken by the employees. Identifying various requirements would make sure that every resource attached with the Employee Leave System is met so as to give it a unique dimension and follow a planned and decisive way to meet the required resources (Ngai, 2004). The scope of the project is that it is for the employees of the company only and does not extend for more than a year. The company is anxiously waiting for its rollout within the next financial year. Customer Relationship Management (CRM) is now one of the leading business strategies, and one of the dynamic IT topics of the new millennium (Bose, 2002; Kim et al.; 2003; Bose and Sugumaran, 2003). The system chosen for discussion is a Customer-service oriented system for taking in and processing the customer needs for getting them what they desired. It functions for evaluating customer needs, offers suggestions and make further decision based on their decisions. Purpose of the systems chosen: Employee Leave System would cater to recording, monitoring and application of leave by the employees and would make sure that all the organizational rules are catered to its full swing. Introduction / Background 1. Description of the company and the organization structure: The company which desires to implement the “Employee leave tracking system” is an IT organization with nearly 2000 employees. It gets really difficult for the company to track the leave taken by the employees and to regularize the policies in place. The present manual system in place is inefficient in getting the required job done. The organization is headed by the chairperson, board of 5 directors, general managers of each project and middle and lower level managers and employees. 2. Business goals The goals of the IT Company concerned is in taking up information systems projects in creating and maintaining information systems for individuals and organizations (Daniel, 2001). 3. Project goals To create information system to track the leave of the employees and manage them accordingly in accordance to company policies and to make necessary adjustments in their salary slips. 4. Scope of project The scope of the project is that it is for the employees of the company only and does not extend for more than a year. The company is anxiously waiting for its rollout within the next financial year. 5. Time constraints The time constraints for putting up this system are 6-18 months of duration. The company refills the leave’s of the employees once in a year, therefore the company would really want the system to be in place within a year. 6. Budget constraints The organization that requires this system in place is ready to invest in this system with its open hands. They were looking forward for quite a long time to put a system in place so that employee leave system is monitored and digitized at the same time. Similar adjustments would make sure that extra leave taken by the employees would be adjusted with their salary slips. The most important part was to regularize the amount of leave provided by the organization with respect to their positions and service contracts. The organization is all set to sign on a blank paper to bring such a system in place. 7. Other factors: Secondary factors like money constraints and document requirements can be cited. The company is willing to sign on a blank chit of paper for building this system. Document requirements are quite less as there would be enough usability provided in the system. Major software components: The first software component is the daily attendance record which is require to be entered in a separate system called electronic measurement of attendance, a form of data entry system The second component would be a processing software for calculating the number of days one has taken off, named as evaluator, in the form of a decision support system (DSS) The third component would be the salary system in the form of a transaction processing sysem (TPS) The fourth component would be to make adjustment of the number of leaves taken with the salary of the individuals, again a DSS system The final component would be a report for the adjusted leave’s and the necessary deductions if any and storing it in the database for results, in the form of management information system (MIS) Business benefits and requirements a. Standards The proposed system would be following the six sigma quality process in implementing the work. b. Existing system The manual system which is in place is inefficient and quite irregular in keeping records. c. Hardware The hardware requirements are a high speed processor probably Intel dual core 3.6 GHz, 2 GB of RAM and 500 GB of Hard Disk space for storing the employee’s details and there leave data. d. Operating system Windows NT system or Linux operating system can be either used for running the application. e. Networking The existing network in the organization is good enough to take care of the networking requirements for the systems access and operation. f. Application software The software requirements for this type of system are architecturally neutral and platform independent (Hoffer, 2002). It should be built either on Java platform or any other platform independent software. g. Communications The system would be quite communicative in nature with respect to offering its services for tracking leave of the employees. h. Security The system security is possible with the help of login credentials (username/ password) for every employee wishing to apply for leave. i. Scalability The system is capable to house technology to support more employees and their usages in future. j. Availability It is available round the clock as it is launched both in the internet and intranet. k. Reliability The system would be built using the six sigma quality approach and would be monitored on regular basis for its performance and its order in line with the requirements. l. Maintenance The system would be maintained by an expert group within the human resources department of the company to check its regulatory and timely demands. m. Disaster recovery All the data of the employees would be stored in parallel Oracle database servers so that it can be replicated in case of disaster. As it is launched in the internet, there are little chances for its breakdown. 8. Training and Documentation The training requirements of the system are at the least. The usability of the system is kept at its height so that there is no problem with ones usage. The system help is present for guidance and support. The document requirements are moderate. The system must be documented for its functionality and its usages. The rules of ones taking leave must be defined explicitly and the systems behavior to the leave taking constraints and disadvantages. 9. Installation issues The installation would be in the internet database server and also in the company in-house database server. The application can be accessed through the internet using the browser, say internet explorer or mozilla. The installation overhead is moderate. The Fitness Center System The basis of this system is to manage effectively the available resources involved in The Fitness Center namely the members, fitness consultants and the higher management of the company involved in strategic decisions. Purpose and Business objectives The Information system deployed here will help the company and its members in identifying their individual goal and contribute to the overall objective of the company to create a competitive edge over others in the similar business. It would departmentalize the enterprise with the concerned information system to track the movement of resources and get periodic reports to check systems functionality and organizations growth. The various perspectives taken into account are: 1) Management’s perspective: Knowledge about members changing interests and feedbacks can be easily trapped from the system to cater the best and remain competitive in the business. The constant feedbacks from the fitness consultants and members will help in preparing an appropriate marketing strategy to attract customers and create a brand. 2) Training Consultants perspective: They get to know what members desire and their performance statistics can be easily calculated from the system using periodic feedbacks. Location transparency is obtained from the Information system as it is not possible to get the focus of the management at all times. 3) Member’s perspective: They get to address their requirements timely and proper sorting query mechanism is obtained. They feel satisfied that their problems are getting addressed to the management. If they see a new product in the market and would love to have it in the center then the requisition facility can be used. They can give any sort of feedbacks to the system provided they are not satisfied with the equipments or level of service. Such requests are given higher precedence and solved within a time frame. Software components: The various software components are as follows: Feedback system in the form of CRM Evaluation system in the form of DSS Management report generation system in the form of MIS system. Favor of referred journals to less reputable sources: The referred journals abide by the standard patterns for journal or thesis writing and have undergone series of evaluations with regard to content, format, illustrations of the experiments, various formatting requirements, adherence to writing standards, adherence to citation and referencing standards and most importantly the correct fitting of the right elements of the paper to the right content and section. The referred journals have been taken up by professionals in the field who are distinguished ones in their own field of interest and make sure that knowledge transition is taken care in the form that is researchable and traceable. In contrast, the less reputable are ones that are not recognized for their content, reliability and other standards for producing a paper. The sources taken into account are either from unpublished material or taken into account from other irrelevant sources which are not acceptable. The citations are not done properly and it can be assumed that it does not hold enough substance to focus a brilliant light for the work undertaken by the researcher. Conclusion The requirements of the Employee Leave System are determined once it is analyzed by the software experts. The various requirements which are analyzed are decided prior to starting the system design and implementation. The Fitness center system to a large extent has benefited to the resources of the firm for their future prospect. The ERP software named SAP, ORACLE and PeopleSoft would integrate the functions of the business into the microscopic level. All the business operations could be handled using the software itself which can encompass the organization in itself. The above two systems discussed is eligible to take up ERP software for their operations. Using the latest web technologies would make sure that it is ready to compete with international scenario. Having an IS makes it a branded company. It creates trust for all the financial operations made and the feedbacks from the clients are capitalized for future innovation.
