This company develops an effective annual resource planning through which it interprets the resource requirements that it needs in order to attract increasing number of customers. The most vital resource for the company is the technological expertise which it needs to build up in order to develop an effective communication and coordination system between its customers and the organization. The success of the company depends on the development of a strong virtual network which would act as a gateway for the interaction of the customers with the employees of the organization. With the help of advanced information technology processes, the company has successfully developed an interface which helps it to maintain strong ties with its customers. The organization mainly operates as a virtual organization maintaining a small core team consisting of IT experts and customer service people with a centralized management operation. IT development and its successful implementation are vital for the smooth operation of the company. Skilled human resource, mainly IT experts, is vital for the company to carry on with its operations. The company has developed unique software which helps it to track the potential candidates who are interested in moving to Australia to pursue higher education. The entire profitability of the company depends on the expertise of the employees to run this software according to the desired specifications. To ensure that the company does not face dearth of skilled technicians, the company develops a human resource planning which helps it to match the demand and the supply of human resource within the organization from time to time. The company maintains a database of skilled candidates who can be appointed in case an employee suddenly quits the organization. This helps it to run its operations smoothly without suffering operational bottlenecks. The company carries on periodical surveys within the organization to understand whether the company has all the resources it needs for the smooth functioning or it needs to adopt measures by which it can make the resources available. Periodical checks are carried out to estimate whether the resources are being optimally utilized or not. This helps the company to adopt measures by which its resources can be optimally utilized in case it is found that they are underutilized or over utilized. The company provides the additional facility to its employees to work from home. This helps the organization to meet its objective without maintaining huge infrastructure which subsequently lowers its overall costs. The success of the company to a large extent depends on the coordination that the team members are able to build with the customers. This depends on the effective communication skills. So, employees are given training to meet the organizational requirements which helps them to attract increasing number of customers. The company chalks out an annual budget which helps it to understand the costs that would be incurred in deploying its resources effectively. To sustain within the competitive environment, the company needs to improvise the IT technologies it uses to communicate with the client and it also keeps certain funds for its marketing strategies. This helps it to attract more customers and generate awareness about the services it provides to its customers. The company mainly outsources the marketing function and allocates a budget every year for such purpose. The company ensures that it maintains reserves in order to meet any urgent requirement which might arise due to a sudden shortage of resource. This might result due to the absence of a skilled employee or a sudden failure of an operational system. In case of employee absence, the company increases the responsibilities of its available staff to compensate the work done by the absent staff. This helps it to balance the available resources effectively. The employees are directed to give suggestions to the management which they feel would help the organization to grow and operate more profitably. Recommendations are invited both on the individual as well as on the team basis. According to the suitability, the suggestions are considered by the management and necessary steps taken to ensure that the operational setbacks suffered by the organization due to unavailability of proper resources do not pose as an operational constraint in the near future. Allocation of resources The company depends on computers to carry on with their smooth operations. The company procures such systems in bulk from its chosen group of suppliers. At the end of every financial year, the company replaces its computer systems with new systems. The company offers tenders and the suppliers who place the lowest quote are shortlisted. Then a thorough quality check is carried out to ensure that the suppliers offer standard systems which would be able to meet the process requirements of the company. After the procurement is done, the systems are allocated to each employee and this is done mainly on off days so that the regular functioning of the organization does not get disrupted. As far as the recruitment and selection of human resources are concerned, the organization with the help of human resource planning is able to estimate the time when there would be an additional requirement of skilled human resource. Based on the estimations, the company allocates funds in order to carry out the recruitments, selection and the following training process so that it is able to fill up the gap as and when required. During the start of new academic session in the Australian universities, the rush for students to get visa, increases. This marks the peak season for the company. It is during this season that the company mainly requires additional human resources who would be able to tap the market demand by identifying the potential candidates and attract them by communicating with them the benefits of using their services. For this purpose, people with strong marketing and communications skills are needed who would be able to convince the customers that they are the people who would ensure that these people reach Australia within the specified time frame. To ensure that a suitable candidate is chosen, the company designs a proper selection strategy in which it adopts procedures by which it can identify the candidate who best meets the organization’s present requirements. Assessment tests are conducted to estimate the skill base of the candidates and based on such estimations the right candidate is chosen. The company ensures that it is able to recruit the most suitable candidate and mainly inducts experienced people as this helps it to save the time and the expenses that would be incurred in training a fresher. Regular performance appraisals are conducted to find out whether the employees are performing as per the desired work standards. Additional training is given to the employees who need further improvisation. This enables the company to run its operations smoothly. To meet the requirements of human resource and technical systems, the company allocates its funds accordingly. This is done to ensure that the resource requirements are effectively met and no problems arise due to unavailability of the necessary resources. Monitoring of Resources To ensure that the organization is able to meet the challenges that are offered by the market, the company has adopted proper checks on its various operations. This helps the company to estimate whether all the resources are effectively utilized or not. Such monitoring helps the company to identify the areas where the deficiencies exist and adopt suitable measures to fill up the lacunas. To understand whether the employees need adequate training or whether they are performing to the expected standards, bi-annual performance appraisals are conducted. The company has adopted graphic rating scale to estimate the performance of the employees. This helps them to identify the employees who can be promoted and given additional responsibilities and the employees who need training to meet the desired organizational standards. Such a monitoring also helps to identify the operational areas which need significant improvement and the type of training that should be provided to the employees to meet the organizational standards. Moreover, the company also maintains database to estimate the number of times it systems suffer operational problems. This helps them in understanding whether next time they should opt for the same supplier or change suppliers. Effective monitoring of resources enables the organization to develop a sound financial budget plan which is vital in order to meet its resource requirements, as and when necessary. The company invites suggestions from the employees which would help the organization to effectively carry out its operations. Such a strategy helps the organization to identify the different loopholes in its processes and the company is able to accordingly adopt measures in order to ensure that such operational constraints are suitably removed. Such an overall monitoring of the company’s processes and various practices helps the organization to bring about suitable changes in the resource planning. This enables the organization to maintain its edge in the market and play a vital role in strengthening the future business prospects of the company. Depending on the changing demands of business, the company changes its planning accordingly so that it does not suffer from lack of suitable human resources or the necessary funds needed to overcome any sudden shortfall.
