In this report therefore, the concepts of communication will be discussed including the posters that can be used in the office environment to help in explaining to the stakeholders the various concepts of the communication as well as the policies and systems of an organisation. Part A Commmunication helps to understand the goals and objetcives of an organisation. the following poster will be used in the office environment to indicate the ergonomic information. a) Ergonomic poster From: The head of department To: All staff Objective: Ergonomic information Due to limited space in the office, the seating positions have been changed and the male employees will be sitting to the right while the female employees will be seating to the left. All health and safety issues should be reported immediately to the head of the department. The office will be an enclosed office. All employees are urged to report to work place by 8 in the morning. Any personal issues should be addressed to the head of department and should be addressed confidentially. Thanks for your cooperation. b). Poster for use in printer room To all the staff in the printing department Aim; Company policies and resource guidelines The company aims to minimize the input while maximizing the output. The corporate citizenship should be upheld when performing the business operations on behalf of the company. The principles of environmental conservation and management should be taken into account. For instance, the ethical principles that should be followed regarding the environment management include the following; Transparency Corporate citizenship Accountability Courtesy The policy of the company is to preserve the environment by reducing the dumping of waste materials to the environment. This is done by dumping the waste materials on the dust bin. Recycling strategies should be upheld to reuse the materials used in the printing sector and that can be recycled. This will reduce the wastage of materials thus improving the utilization of materials and other resources used in the printing office. The ethical principles should therefore be upheld to conserve the resources which are used in the printing section to improve the productivity of the printing sector. c). Poster to the visitors To all the visitors Aim: Procedure for accepting the visitors In our efforts to improve our services to the visitors, the following procedure will be used to accept the visitors to the company’s premises. All visitors should sign in at the entrance of the gate with the security personnel and provide their personal details. The visitors will then be allowed to enter into the premises of the company. However, this can only be done through the customer care desk. At the customer care desk, the visitors should report their purpose of visiting the organization and be provided with the visitor’s cards that indicate that they are visitors. The visitors will be required to wear the visitors’ cards and then be assisted to do what they came to do in the organization. The reporting time is then indicated in the visitors’ book. After completing their purpose in the organization, they will be required to submit the visitors’ card and a security check is done after which they will be provided with their identity cards to leave the premises of the company. Kindly all visitors adhere to the procedure as we try to improve the service to our customers and visitors and for the purposes of security issues. Part B At the workplace, there are various hazards that influence the working relationship among the staff members. The workplace hazard am familiar with is the deaths and injury caused at the workplace. At my workplace, there are deaths and injuries that have been caused by negligence at the workplace. The first cause of the injury at the workplace is lack of effective training to the employees (Nageshwar & Rajendra 2009). This is because the employees are not provided with competent and qualified skills to operate machines. When there is delegation of authority, the employees are not delegated tasks they possess competent skills in. this leads to injuries and damages and eventually can lead to death. The other cause of the hazard of injuries is negligence. Some of the employees do not take their work seriously and they don’t follow the professional ethics when they are performing their duties. This leads to carelessness and this affects the ability of the staff to protect themselves from the damage and injury that can be caused. Due to negligence, the machines are not used efficiently and they can lead to damage or injury due to breakdown (Nageshwar & Rajendra 2009). Lack of effective communication also leads to accidents and injury at workplace. When the employees in the same department especially in the production department, the end result are that there will be injury or even death. For instance, there can be missed materials handling when the operations are done manually (Nageshwar & Rajendra 2009). This can lead to death due to accidents. However, this can be managed by ensuring that there is effective communication among the staff so that the process of production can be smooth and avoid accidents that can otherwise be avoided. On the other hand, the procedure that can be used for ergonomics is to develop the mission and vision as well as the objectives that should be achieved. The stakeholders will then be identified and invited for discussions. The communication strategy that will be applied is use of open discussions so that the representatives of the stakeholders will be part of the decisions which are made and this will improve the policies regarding the ergonomics (Stacey 2010). The procedure that can be used to minimize overuse of syndrome is by evaluating the reasons behind using the syndromes. Research will also be conducted and stakeholders engaged to find the alternatives ways that can be applied instead of overuse of the syndromes. After developing the available alternatives, the best option can be selected in agreement with the stakeholders so that they can agree on the best alternative they can use (Stacey 2010). The procedure that can be for breaks is assessing the working time in the organization and the work available that should be completed daily. Together with the staff, the most effective time will be selected that the employees will have their break to relax (Stacey 2010). It is important to consider the previous time for break and adjust to meet the needs of the organization and the staff. Finally the procedure that can be used when using the software and hardware starts by drafting the objectives of using both the software and hardware. This will help to provide the guideline for the employees and the staff to understand the needs of using the software and hardware. The next thing to do is to assess the capacity of the organization to use the software and hardware and this includes assessing the financial capacity and human skills (Nageshwar & Rajendra 2009). The software to be used is then selected after putting all the required systems in place. The software and hardware will help to solve the hazards that can take place at the workplace because of the effective communication that takes place at the workplace. 1. The purpose of the document is to determine the causes of the accident hazards at the workplace and how they can be solved. The document will provide a guideline how to manage the workplace hazards. 2. The format and means of communication that will be used is using the posters. The posters were selected because they help to answer to communicate the message to the relevant parties in writing. This form of communication is cost effective and can help to remind the staff on the best practices always. 3. The requirements of the documents include the company logo, the mission and vision statements. In addition, the document requires the techniques that will be put in place to manage the hazards. In addition, the language of communication should be effective to the target audience. 4. The document will be organized in a way that can help to communicate the message effectively. The sequence will start by identifying the hazard, the negative effects of the hazards and the possible strategies that can be employed to manage the negative effects. Various alternatives will be developed and the best option selected. This logical sequence was selected because it helps to plan for the hazard effectively to achieve the goals and objectives identified. 5. The contents of the document include the company logo, the target audience and the message of communication. The other contents of the document include the form of communication as well as the formal language that will be used. 6. In order to review the data and information according to the structure of the document, the first thing to do is to follow the structure in doing tasks. In addition, there will be prioritization to ensure that the most urgent tasks are performed first and then tasks which are not urgent performed later. Monitoring and feedback are also important to review the data and compare it with the expected outcome. 7. The original draft Introduction The aim of this report is to find out the causes of the hazards taking place in the organization. The hazard that is selected for this assignment and which is regularly experienced at the workplace is the accidents that happen. The report will try to find out the causes of the hazard. Causes of the hazard This report found out that there are various causes of the hazard in the organization. Some of the causes of the report include lack of effective training and lack of adequate equipment used by the employees while doing their daily tasks. These hazards affect the motivation of the employees since the hazards affect their wellbeing. Conclusion From this report, it can be determined that hazards occur at workplace and affect the performance of an organization. The hazard I have experienced the workplace is accidents that occur affecting the wellbeing of the employees. The selected experienced at the workplace is accidents and the causes should be ascertained to take appropriate actions to reduce the negative impacts of the hazards. The learning programs that were adopted by the trainer include mentorship and conducting research on the internet. Findings From the research that was conducted, it was determined that there are various hazards that happen at the workplace. If these hazards are not managed effectively, they can affect the performance of an organization. The causes of the accidents at the workplace include lack of effective training and failing to use appropriate technology and equipment that lead to accidents. The effects of the hazards include injury and even death to the employees and this affects the performance of the organization. Conclusion This report discussed the concepts of hazards at workplace and their effects as well as the causes. In this case, the accident was the main hazard that took place at the workplace. According to the report, the main causes of the hazard include lack of effective equipment as well as lack of effective training and skills among the employees. The hazard affects the motivation of the employees and can lead to death as well as conflicts at workplace. Recommendations The report recommends that hazards at workplace can be prevented by engaging the employees in decision making so that they can contribute to the opinions relevant in making decisions regarding the hazards. In addition, the hazard can be managed by conducting risk management to identify the main risks that affect the organization and possible measures that can be taken to manage the risks. This will help to manage the hazards at workplace. 8. The document required used to check that all the requirements are met is the checklist. The checklist will help to indicate that all the requirements have been met since each requirement will be checked if it has been met. 9. The areas that can be improved in this project include the communication strategies by focusing on formal and informal communication strategies as well as verbal and non verbal communication. The writing communication should be improved to make it more formal. This area of improvement was selected since it will help to ensure that communication that is made is effective and uses the language that is effective. Conclusion Effective writing is an important skill that helps to improve communication at the workplace. This is because when there is an official communication in an organisation, it is important to make the communication in writing. The styles of communication that can be used at the workplace include using emails or letters or posters that communicate the message to the intended audience. When communicating, the target audience should be considered so that the language that is used is appropriate and can convey the message as required.
