Business to Business Messages by Business communication is characterized by its clarity, persuasiveness, and unambiguity. The purposeof business communication is to deliver a message as effectively as possible that is why the usage of clichés is common in this type of communication. The subjects of business communication may vary significantly from relations with customers to event management. However, business communication is used mostly for professional information transfer, responsibilities delegation, working contact arrangement or working processes control. Word of a mouth, printed materials, telephone, and the Internet are the most common ways of information transfer. The type of communication method does not matter as long as it allows passing information with the lowest degree of noise. In the first business communication message two different department of the same company are involved. Top management of the company aims to reinforce marketing campaign of the company and increase its profit. In order to inform the employees of marketing department about the changes in the policy top management prepare a business letter which is sent via e-mail. In this letter the basic goals for the next three months are stated along with the new tasks for the marketing department. Internal space of the company serves as a favorable environment for communication. The message created by top management is too vague at the present stage, and more information in detail should be included regarding the changes in marketing policy. Top management should probably make information in the form of presentation and include approximate visual image of the changes. There is a probable noise in the communication because the information will certainly require explanation and the communication will take form of a long dialogue via e-mails. On the one hand, it is positive because all nuances will be stated in a written form, but on the other hand it prevents from free flow of a discussion. Probably it would be more reasonable to deliver such information on the corporate meeting and encourage discussion. Sending such information in e-mail will be less effective in terms of feedback as well. The next business message concerns information about promotion of the employee on a position of a top manager in Quality Assurance Department. This message is delivered in a corporate environment with the help of a printed leaflet once a month. From this media it is possible to learn the latest news in the company. The message is simple and is delivered in the most effective way: basic information about promotion is mentioned along with a photo of a person. The staff of the company is the recipients of the message, and as the information is easily accessible and simple there is no noise in the process of its delivery. There is no possible feedback on this information except for better communication within the company. The third message in business communication involves two different companies one of which proposes its services to the other: a transport company is providing a big manufacturer with goods delivery. The message is exchanged between two top persons of the companies. The CEO of the manufacture aims to receive a discount on transportation due to substantial increase in services purchase. The company wants to increase the volume of production in several times that is why they need to guarantee its timely transportation. The message is delivered via telephone communication due to long-term cooperation between the companies. Later the same information is delivered with the help of a business letter. Telephone communication allows contacting the person directly and establishing friendly connections. Reputation and image of the company plays a crucial role in such type of communication, and the telephone call emphasizes the importance and the trust of the manufacturer to the transport company. As long as the message can be misinterpreted due to numerous details the exact copy of the dialogue is repeated in the form of e-mail which guarantees authenticity of information. The message from ABC Company to XYZ Company regarding cooperation. ABC Company is specializing on the printed business while XYZ Company is responsible for event management. The first company needs to arrange a solid presentation of its new magazine in order to attract the attention of the public and media. And the most effective way to deliver this first message is with the help of formal e-mail. Dear XYZ Company, We are well-informed of the reputation and the quality of services your company provides to its clients. And we are very much interested in creating effective working connection with you on the ground of mutual respect and understanding. At this point of development ABC Company needs an advisor and a coordinator in arranging of the event that would allow representing our new magazine on fashion and celebrities` lifestyle in the most productive way. The purpose is to attract the biggest number of participants who will later spread the news about the magazine by the word of a mouth. We are sure that the experience and the expertise of your company in this sphere will allow us to achieve the best results. ABC Company is ready to discuss the forms and the conditions of the cooperation at any appropriate time. Sincerely, Top Managers of ABC Company Dear ABC Company, Thank you for the interest to our business but we regret to inform you that XYZ Company cannot participate in the project offered by your company. Unfortunately we do not have experience in arranging events for the media of such kind as our major clients specialize in IT and Finance. Our reputation constitutes our main resource, and we are afraid that this cooperation could affect negatively our image due to specificity of your business. We hope that you will find the company you are searching for that will arrange an event on the highest level. Regards, Top Management of XYZ Company The communication between ABC and XYZ companies was ineffective due to the different level of the businesses. Moreover, the means of communication- formal e-mail was not appropriate for such kind of message and it would be better to arrange a personal meeting or to conduct a telephone conversation. In case of formal communication via e-mail XYZ Company did not get the chance to learn the conditions of the cooperation and assess the possibilities of ABC Company. Read More
