IT projects Library Services RFID Project: The project aimed to improve the service delivery systems of all the library facilities in the and evolved five to ten year strategy to make the service delivery very effective to the people. Among the lists of recommendations made the most effective one was the implementation of RFID integrated security and transaction system. The project aimed to reduce the time wasted by staff on various rudimentary activities by streamlining the processes. RFID is expected to reduce the stock handling, reducing the misplaced stock, reduction in the number of unchecked items being taken out of the library besides reduction in the OH & S cases. The project activities were directed by steering committee by taking necessary strategic decisions relating to scope, budget, approach and schedule. The committee would review and assess the progress of the project. Under the steering committee the Project management team functions and project working team would operate under this unit. CABS Replacement Project. The entire asset maintenance and the activities of field staff in Gold Coast Water Operations are undertaken using dispatch system called CABS. The replacement of the existing CABS is being recommended as the present unit is reaching its serviceable life span and hence might not be able to meet the current requirements and demands from GCCC. Thus this project would help to eliminate the existing risks with the CABS itself. The solution is expected based on the new Mobile In Field Data Acquisition System (MIDAS). In comparison with CABS , MIDAS is an attractive option as it would tend to reduce the staff while creating necessary conditions that enables growth. In a long run it is said that CABS would result in higher business operational cost and inefficiencies, the MIDAS would drive the costs down. Also, it would support all the existing business needs and help in scalability to meet the needs through integrating the asset management system and better data collection systems. . South Port Library ICT Refit Being the firsr GCCC library that is developed with the Future provision of library Service framework, the South Port branch library ensured increased public access. The library also featured the facilities of adequate bandwidth of sufficient public data infrastructure with its reliability to support the expanding digital resources. The Southport Library Information, Communication and Technology (ICT) were scheduled in a very rigid time frame. Telco Migration Project The main objective of the Telco Migration Project has been to roll out new telecommunications services selected by the Telecommunications Bundled Procurement Project. The project is planned to be accomplished in three subprojects namely Voice services, data and Internet services and mobile communication services. OS Business Continuity Planning Project The Project would help to effectively implement and manage projects related to OS Business continuity plan and reduces the impact on OS resources. This would also help to plan the activities and resource requirements required for the above activities, so as to provide resources and stakeholders with maximum notice of their involvements, and so as to minimise the resource impact particularly on IT Operations resources. City Governance Business Planning. Works management Business continuity project The Works Management Business Continuity Project will focus on an outsourced solution to remove the risk associated with the current system, CABS. The CABS system is used by the Operations and Maintenance Branch to manage asset maintenance work and staff involved in In-Field operations. CABS is reaching the end of its serviceable life, and may not meet the existing performance requirements of GCW through to the Water Reform. GCW is preparing a Business Continuity Plan to ensure the business of Dispatch and Works Management is maintained through to the Water Reform. Part of this plan is to have contingencies for key systems such as CABS. Application Management System The project aims to Improved functionality is expected to reduce time and staffs labour for entry of data. Improved accuracy of invoice data captured by significantly reducing the amount of human intervention. Improved service levels where business users require copies of invoices. Optical Character Recognition. The key objective of the Accounts Payable Team is to ensure that the increasing numbers of payment requests from Council's creditors are paid accurately and within the agreed terms. The percentage of creditors paid on time is reported in the Operational Plan that is presented to Council on a quarterly basis. In order to achieve this objective, a requirement and business need was identified to procure and implement an OCR system to support the Accounts Payable team in reaching this objective. Reservation software applicable for Venues and sports The project aims to improve reservation of the spaces in connection with the hirable spaces in an hourly format in the Gold Coast City Councils Major Community Centres and National Standard Sporting Facilities. The major venues are located among the 10 major community centres and 8 national standard sporting facilities and the hirable areas include sports fields and facilities, function rooms, auditoriums and meeting rooms. This standalone reservation system would be designed for the accommodation business and suitable for 24 hour hire periods. The aim is to replace the prevailing system with a more efficient business specific solution that is capable to support multi-location operation and a central corporate database. The objective is that corporate data will be controlled and protected centrally, with the application operated over the Council's network. Grange Business Intelligence reporting The Grange Business Intelligence reporting aimed to improve the business performance better analysis of its operational achievements which was a prime imperative of Gold Coast Water (GCW).Thus, the results obtained from these efforts could be successfully used to improve the KPI. The specific issues that needed attention were identified as low confidence in data, high variances in a few queries, inconsistency and non-standardization in reporting, insufficient knowledge of Grange Data Tables. The two key areas in water management being considered are water meter renewals management and water supplied per property. Read More
